Job Description
Title: Snr. Executive Assistant
Reporting to: CEO
Duty Station: Head Office Islamabad
Unit: Executive Office
Key Roles & Responsibilities
- Having great attention to detail and be able to work independently with minimum supervision.
- Schedule meetings and manage the calendar.
- Perform day-to-day administrative tasks and reminders.
- Answer emails, make phone calls and follow up on pending tasks.
- Perform inquires, follow-up on tasks, conduct research and perform data entry tasks as and when required.
- Format and edit documents as per need
- In consultation with communication focal person, reach out to media to increase publications organization work.
- Review various reports, important tasks and notify CEO of problems that require attention.
- Create labels and draft letters, memos, notifications and develop PPTs as and when needed.
- Coordinate with Admin Officers for making travel arrangements
- Organize and maintain CEO’s correspondence files while directing him to priority matters.
- Follow-up diligently on matters that are important to the CEO.
- Overly responsive and communicative over phone, WhatsApp, Email, etc.
- Ensure everything is running smoothly and that the CEO is only working on high level matters that impact the organization.
- Demonstrates integrity by modeling the ethical standards and values of Integrity, Equality, Transparency, Knowledge Base and Fostering Synergies.
- Displays cultural, gender, religion, race, nationality and age sensitivity and adaptability.
- Promotes vision, mission and strategies of Inspire Pakistan.

- Able to follow directives
- Develop systems for structuring, codifying and providing access to information and knowledge
- Any other duty assigned by the CEO.
- Responsible for new hiring, termination, and change of status forms with payroll. Serve as employee liaison to assist in problem resolution with issues related to benefit deductions and pay.
- Coordinate and ensure completion of employee exit interviews. Report outcome of exit interview information to management and tracks/maintains data.
- Ensure staff compliance with Human Resources Manual
